Square to Quickbooks integration for invoices

I'm here to help you get your Square transactions into QuickBooks Online, Kathy07.

To start, let's connect the Square bank account. I'll show you how.

  1. In QuickBooks, go to the Banking menu.
  2. Select Add account .
  3. Follow the steps to connect the account you use to process Square sales payments.

Also, please note that the app enters the item for product and service names in imported transactions. To avoid manually changing the name, I'd suggest importing them.

  1. Open Square and export your products and services as a CSV file.
  2. Login to your QuickBooks Online account.
  3. Import the products and services from your CSV file.

Once done setting up, you’re now ready to connect your Square account.

  1. Sign in to QuickBooks Online.
  2. Go to the Apps menu.
  3. Search Connect to Square.
  4. Select Get App Now .
  5. Follow the guided steps to set up the connection.

After the transactions are downloaded, I'd recommend reviewing and adding them. For more details, please see Step 3 in this article: Connect your Square Account to QuickBooks Online.

Aside from the Connect to Square app, you can also integrate Sync Square with QuickBooks Online. To avoid duplicate transactions, please use one of the apps.

Square to Quickbooks integration for invoices

Thank you for your response. Per your instructions, I integrated QuickBooks Online to Square. I only received the payments of invoices and they were entered in my Undeposited Funds. The import did not show who the customer was or the invoice number. only the payment. I need to have the actual invoices imported so I can see who the customer is and the invoice number. I use the "Receive Payment" to mark when invoices are paid. How do I import the actual invoice. not the payment into Quickbooks? I have attached a file to show what I am referring to.

I'll share some information about Square and QuickBooks integration. To confirm, were you able to download the Sync with Square app? If not, here's how to do it.

  1. Sign in to QuickBooks Online.
  2. Then, visit the Sync with Square page in the QuickBooks Online app store.
  3. Select Get App Now . This starts the connection.
  4. Choose the company you want to connect from the dropdown. Then, follow the steps to authorize the connection. Sign in to your Square account with the same sign-in you use for www.squareup.com.
  5. On the Basic Settings window, take the Bank and Expense accounts (for fees and other expenses) you use to process payments in Square. Then, pick the default Payment method . You created these accounts in "Step 1: Set up QuickBooks." When you're done, select Save Changes .
  6. On the next screen, change any settings you need. When you're ready, click Connect .

Once you're done connecting the app, QuickBooks automatically downloads your Square transactions. You'll get a daily email summarizing the downloaded transactions for the past 24 hours. You can also go to the Sales or Expenses tab in QuickBooks to see what was downloaded.
